Meeting Minutes

September 2, 2009

INTRODUCTIONS: Those in attendance included Allen Mack, Melissa Tucker, Melody Shively, Michelle Coates, Kellie Mahaney, Melissa Beal, Amy Fogt, Barbara Martin, Joyce Parker, Cathy Blankenship, Jeanie Marlow.

Meeting was called to order by Allen Mack at 7:02 p.m.

REPORTS

A. Treasurer’s report - Allen Mack provided treasurer’s report and went over the items covered on it. The report showed that the teachers who had requested reimbursement from the past 3 years, per last P.A.C. meeting, had been paid.

B. Secretary’s Report - Allen Mack provided a copy of the last P.A.C. secretary’s minutes, from the Miami East Website and shared with those in attendance.

C. Election of Officers: The 2009-2010 officers were voted on as follows:

President - Cathy Blankenship

Vice President - Joyce Parker

Secretary - Stephanie Copeland (to be discussed with her) and Melissa Tucker as Shadow Secretary

Treasurer - Michelle Coates

Volunteer Coordinator - Amy Fogt

Meetings will be on Wednesday evenings during the first week of the month at 7:00 p.m., unless otherwise noted.

OLD BUSINESS

A. Open House flowers were given to teachers of the junior high the night of August 24, 2009.

B. Market Day: Volunteers will be needed the 1st Tuesday and sometimes the 2nd Tuesday of the month for order pick-up. Jeanie Marlow suggested that there be 2-3 adult volunteers. It was suggested by Melody that Miami East High School students could serve for their community service hours. It was also suggested that the profits be split by 1/2 year to the PTO and 1/2 year to PAC. Market Day money would not be split with the Principal’s Fund but, be used for P.A.C. only. Jeanie also suggested, that there would need to be 4- 6 people doing phone calls. Barbara suggested we use One Call Now, and that she could set up a free account through her employment there. There would still need to be a few volunteers to run the sale pick-up. It was decided that flyers would need to be sent home with students rather than having them picked up in the office, as it stands currently.

C. Fundraiser: A brochure sale will kick off the last weekend of September on the 25th and run through October 9th.  There will be 2 separate kick-offs: one for 6th graders and one for 7th and 8th graders. The merchandise will be delivered on the 2nd parent/teacher conference night, which is November 10th. There will need to be volunteers that day, also.

NEW BUSINESS

A. Blue and White Tickets: Help is needed in securing items. Allen stated that in the past, Viking Spirit wear has been very popular. More concrete decisions TBD at the October P.A.C. meeting.

B. Operation Grade Card: There is an open door policy from 3:00 - 6:30 for parents to pick up student report cards. Teachers will be provided food for the evenings of those conference times. The nights of the pick-ups are November 5 and November 10. Kellie said she could deliver the food, but not until 3:00 p.m. The staff would like to have the meals around 2:00 p.m. Details will decided at the October meeting.

C. Student Directories: These are provided free of charge to the entire junior high student body.  There are roughly 350 printings of the directory. Last year, Jeff Carpenter printed them for approximately $150. Kellie suggested Mike Monnin could also print them. Melody will contact Jeff Carpenter, and Kellie to contact Mike Monnin to determine pricing quotes.

D. Parent Volunteers: Michelle Coates nominated Amy Fogt to be Volunteer Coordinator.

OTHER DISCUSSION ITEMS

It was brought up that it might be a positive reward to provide locker signs for the 7th and 8th grade for Honor Roll. Student Council could be contacted to do this.

Trips for the junior high students discussed were the Camp Willson trip for 6th graders on May 12-14. Also discussed was the Smoky Mountains Trip for the 8th graders. Confirmed dates for that trip are May 10 through May 14.

Next Meeting Date is scheduled for October 7 at 7:00 p.m. The meeting was adjourned at 8:20 p.m.
