MIAMI EAST ATHLETIC BOOSTER MEETING MINUTES
The Miami East Athletic Booster meeting was held on December 9, 2013, at 7;30 p.m. in the Lecture Hall at the Miami East High School. Those in attendance were: Lori & Warner Bowling, Janet Gump, Paul & Ronda Hershberger, Jay Skidmore, Scott Donaldson, Therese Mengos, Brandon & Tricia Fellers, and Tonya Nuss. Coaches in attendance were Max Current – Varsity Football, Jason Sroufe – Wrestling, and Carol Bollinger – Swimming.
TREASURER’S REPORT
- Therese Mengos shared the Treasurer’s Report. The boosters currently have $8095.04 at Main Source Bank and $3943 at the Troy Foundation, totally $12,038.04. We will keep a balance of $2000 in the Main Source Bank account, the rest will be transferred to the Troy Foundation account. Tricia Fellers moved to approve the Treasurer’s Report. Jay Skidmore seconded the motion. Motion carried.
MINUTES
- Brandon reviewed the minutes from the last meeting. Since it was just a meeting to discuss the fish fry, a motion to approve was not taken.
OLD BUSINESS
- Fish Fry – balance made from the fish fry this time around was about $6100. We still have a few expenses to pay, but did very well thanks to the support of the community and everyone involved. We will continue to print 200 tickets and Scott Donaldson will keep track of them and who is issued which numbers.
- Football Pep Rallies – thanks to Janet Gump and the cheerleaders for their fun and exciting games/events at the football pep rallies this fall. We want to thank Poling’s Auto for donating the car for the football team to smash. A big thank you is also extended to Hart’s for picking up the car after the festivities.
- Columbus Crew – Lil Carson asked for $1000 for the soccer team to be able to go and play at Crew Stadium in Columbus. Paul Hershberger made a motion to approve the request. Janet Gump seconded the motion. Motion carried.
- Indianapolis Pacer Tickets – Scott Donaldson will check with Coach Elifritz and Coach Mack to see what the status is with the tickets. The boosters sponsored the payment of 150 tickets at $13.20 per ticket totally $1980 for the girls and boys basketball teams to go to Indy.
- Janet Gump requested new pants and jackets for the cheerleaders. The cost of the items will be $1710 plus shipping and handling of $100-$150. Scott Donaldson has another vender coming in tomorrow to also submit a bid for the items. Janet and Scott will see which bid will be the best for the district. This item was tabled for a later time.
NEW BUSINESS
- Brandon Fellers read a thank you note from Ross Snodgrass. Ross thanked the boosters for his scholarship and for sponsoring him in the Ohio North/South football game at Welcome Stadium.
- Scott Donaldson requested that all varsity coaches be added to the one-call now list to receive reminder calls for the athletic booster meetings.
- Brandon Fellers reported that he is checking into insurance for our events for coverage that may be needed. He is waiting to hear back and will let us know at the next meeting.
- Programs – will be left at the high school with Scott Donaldson. Anyone wishing to sell them should contact Scott to get the programs and start-up money. Jay Skidmore and Paul Hershberger will be selling the programs at the next girls’ basketball game. Brandon would like for us to review the sponsor list and see if there are any others that might want to be included. We will be checking with Honda of America in the spring for their donation.
- Coaches’ Requests – Jason Sroufe – Wresting – thanked the boosters for their new uniform for the junior high wrestlers. He is asking for a new flexiroll mat in the future. They have one that they used at the state tournament, but will need a new one. The price for a refurbished flexiroll mat is $6500. A new one will cost about $10,000. Coach Sroufe also stated that the little wrestlers program will also help with the cost of the new/refurbished mat. This item was table for a later time.
- Spring Game Night/Spaghetti Dinner – Brandon Fellers brought up the topic of our next event. We are checking out venues to hold the dinner.
- We are exploring ideas with the Eagles. Therese Mengos will check to see if they are members in order to get the rental cost at a lower rate.
- The Fletcher Fire Department was another venue mentioned. Janet Gump is going to check out the seating/requirements for there. She thinks it will hold 300 people, but wants to check to make sure all of the tables for seating and games will fit.
- Another venue is St. Pat’s Church/Community Center – Jason Sroufe has a few contacts there and will check it out for us.
- Mr. Gentis has brought up several great ideas about game tables and a gift card wall. Brandon will get with him and see if we would be able to borrow the necessary equipment.
- Scott Donaldson suggested instead of having a spaghetti dinner with all of the involved items, how about just ordering pizza, having beer and snacks and starting out that way. That idea was well received by the group. Scott is also going to check with Lehman Catholic and their football drop and balloon drop. This item was tabled for further discussion.
MISCELLANEOUS
- Jay Skidmore brought up the idea of getting a gift card for Brad Havenar for doing the auctioneering for us at the fish fry. The group thought that was a great idea. Jay made a motion to purchase the gift card. Warner Bowling seconded the motion. Motion carried.
The next meeting will be January 13, 2014, at 7:30 p.m. in the Lecture Hall at the Miami East High School. Jay Skidmore made a motion to adjourn the meeting. Therese Mengos seconded the motion. The meeting was adjourned at 8:42 p.m.
